Payments & Fees:
Everything you need to know about paying for your trip, security deposits, and cancellations.
When you’ll pay:
To secure a cottage rental with OCRVacations, your payment schedule is split into two parts:
- At the time of booking: A deposit of 50% of the rental rate is due immediately. You will also be charged a non-refundable Booking Fee of 13% (plus HST) at this time.
- Remaining Balance: The remaining 50% balance is due no later than the date specified in your Vacation Rental Agreement.
- Last-minute bookings: If you book a reservation that begins in less than one month, the full payment (100% of rental rate + fees and taxes) is due immediately.
Note: Your credit card is typically not charged until our Booking Agent has contacted you to confirm the reservation details.
Payment methods:
We offer secure options to ensure your transaction is safe.
- Credit Cards: We accept major credit cards for the initial deposit and booking fees.
- Online Banking: For paying your remaining balance, we accept payments via online banking (Payee: Ontario Cottage Rentals Inc.).
- Phone Payments: To protect your personal information, we often conduct booking transactions securely over the phone.
- No E-Transfers: Please note that we do not accept Interac e-transfers for deposits or payments under any circumstances due to security standards.
Fees and Taxes:
Beyond the nightly rental rate, there are a few standard fees to be aware of:
- Booking Fee: A non-refundable administrative fee of 13% applies to all reservations.
- Tax: Harmonized Sales Tax (HST) is applied to rental rates and fees in accordance with Revenue Canada regulations.
- Security Deposit: A refundable Security Deposit is required for all stays. This amount is held in trust and is returned to you after your stay, provided an inspection confirms no loss or damage.
Cancellations and Refunds:
Our cancellation policy is designed to be fair to both guests and owners. All cancellations must be submitted in writing.
- More than 30 days before arrival: You will receive a refund of all monies paid, minus the 13% non-refundable booking fee (plus HST).
- Less than 30 days before arrival: No refund will be issued unless we are able to re-book the cottage for your dates.
- If re-booked: You will be refunded your payment, minus the 13% non-refundable booking fee (plus HST).
- If not re-booked: No refund will be issued.
Security Deposits & Damages:
Your Security Deposit is held to cover potential damages or violations of the rental agreement.
You may forfeit some or all of your deposit if:
- There is damage to the property, furniture, or fixtures.
- The cottage is not left in a tidy state (e.g., garbage not removed, dishes not cleaned).
- Guest limits are exceeded without permission.
- There are noise complaints or police involvement.
- You depart later than the designated check-out time.
Checkout & Cleaning:
To avoid additional fees, please adhere to the following checkout rules:
- Check-out Time: Strictly 10:00 AM. (Check-in is at 4:00 PM).
- Cleaning: While you are not expected to deep clean, you must leave the cottage in a tidy state.
- Wash and put away all dishes.
- Remove all garbage and recycling from the property (take it home or to a designated dump site).
- Clean up after pets (if the rental was pet-friendly).
